Privacy Policy
How USFoodTrader collects, uses, shares, protects, and retains information.

Scope
This policy applies to USFoodTrader's website, marketplace accounts, product listings, inquiries, storefronts, support tools, and related communications. USFoodTrader is supported by Tomasino Farms and may connect users with separately arranged trade services.
This policy describes the platform as it operates today. USFoodTrader does not currently provide online checkout or process marketplace payments, subscriptions, or commissions through the website.
Information we collect
- Account details, including name, work email, optional username, password hash, role, preferred language, login and security settings, and account status.
- Company and business details, including company name, country, business type, phone, website, address, trade interests, company profile, verification information, and storefront content when provided.
- Marketplace activity, including product listings, RFQs, quotations, inquiries, messages, reviews, saved products, and support conversations.
- Uploaded content, including product images, galleries, flyers, logos, descriptions, certificates, and other files a user submits.
- Security and operational data, including session records, login timestamps, IP address and user-agent information associated with authentication or abuse prevention, audit events, and email delivery records.
- Communication and campaign preferences, including consent source or other recorded legal basis, interests, unsubscribes, suppressions, bounces, and complaints where applicable.
How we use information
- Create, verify, administer, and secure buyer, seller, and combined accounts.
- Publish approved product and storefront information and route inquiries between marketplace participants.
- Review accounts, companies, listings, RFQs, messages, and uploads for marketplace quality, safety, and policy compliance.
- Send account activation, security, inquiry, support, operational, and eligible campaign communications.
- Provide customer support, maintain audit trails, investigate abuse, and improve marketplace reliability.
- Measure product-page activity using privacy-limited first-party analytics when the feature is enabled and the visitor allows analytics cookies.
CRM, email, and service providers
USFoodTrader may synchronize appropriate account, company, contact, product, and inquiry information with Zoho CRM for relationship and workflow management. Email infrastructure is used to deliver transactional notices and, only where eligible, campaign messages. Cloudflare Turnstile may process technical information to help prevent automated abuse.
When AI-assisted support is enabled, a submitted support message and limited page or product context may be processed by the configured OpenAI service to prepare a response. Hosting, database, file scanning, email, and other technical providers may process information only as needed to operate and protect the service. Their own terms and privacy notices may also apply.
Cookies and analytics
Necessary cookies support authentication, language selection, security challenges, and saved cookie choices. Optional first-party product analytics use a short-lived random session value only after analytics consent. Analytics records may include product and storefront references, event type, date, locale, coarse country code, referrer host, and campaign attribution values. The analytics system is designed not to store a visitor's raw IP address, full referrer path, contact details, or raw session value in analytics records.
Eligible campaign email may use administrator-controlled open and click tracking. Open counts are estimates because image blocking and mailbox privacy features can suppress or proxy events. Campaign tracking is separate from the optional website analytics cookie. See the Cookie Policy and the Cookie settings control in the footer for details and choices.
When information is shared
- With buyers, sellers, and their authorized company members as needed to respond to an inquiry or conduct a requested marketplace workflow.
- With service providers and integrations that operate the platform, subject to appropriate operational controls.
- With advisers, authorities, or other parties when reasonably necessary to comply with law, protect rights and safety, investigate misuse, or complete a corporate transaction.
- Publicly, only for information configured and approved for a public listing or storefront. Privacy settings do not make intentionally published content private.
Retention and security
Information is retained for as long as reasonably needed to provide the service, administer accounts and inquiries, meet security and operational needs, resolve disputes, and satisfy applicable obligations. Raw product analytics are scheduled for deletion after 90 days and daily analytics aggregates after 13 months when the analytics feature is enabled.
USFoodTrader uses access controls, hashed passwords, session controls, email verification, optional two-factor authentication, upload validation and malware scanning, audit logging, and other safeguards. No online service can guarantee absolute security.
Your choices and rights
Users can update many account and company details in their dashboard, manage eligible email preferences, choose optional analytics cookies, and use the account deletion control in Settings. Depending on applicable law, a person may also have rights to request access, correction, deletion, restriction, objection, or a portable copy of personal information.
Submit privacy or data requests through the Contact page. We may need to verify identity and authority before acting. Some information may be retained or de-identified when reasonably necessary for security, legal compliance, fraud prevention, or record integrity.
Changes and contact
We may update this policy as the platform changes. The Last Updated date identifies the current version. Questions or privacy requests can be submitted through the USFoodTrader Contact page.
